What happens to the data you give us through a form, by e-mail or by phone.
1. Data controller
The controller of your personal data is Bożena Stanisławska, running a sole proprietorship under the business name Bożena Stanisławska „ARPiT ARCHITEKTURA RYSUNEK PROJEKTOWANIE i TECHNOLOGIA PRACOWNIA PROJEKTOWA”, with its registered office at ul. Nałęczowska 64, Warsaw, NIP (tax ID) 5211518966, REGON 010944680 (“ARPIT”, “we”).
For any data protection matters, write to arpit.familydesignstudio@gmail.com or by post to our registered address. We have not appointed a data protection officer, as we are not required to.
2. Where your data comes from and what it is
We receive data directly from you: through the forms on this website, by e-mail, by phone or during a meeting. This may include:
- your name, phone number and e-mail address,
- company name (in a developer enquiry),
- information about the project: plot location and number, areas, house preferences, the chosen consultation date,
- the content of your message and attached files (e.g. a zoning plan extract, maps, photos),
- results from the tools on this website, if you choose to send them in a summary.
Providing data is voluntary, but without contact details we cannot reply to your enquiry.
3. Purposes and legal bases
- Replying to enquiries, preparing quotes, booking consultations – steps taken at your request before entering into a contract (Art. 6(1)(b) GDPR) or, where the enquiry is not about a contract, our legitimate interest in handling correspondence (Art. 6(1)(f) GDPR).
- Concluding and performing a design contract (Art. 6(1)(b) GDPR).
- Legal obligations, e.g. accounting and tax (Art. 6(1)(c) GDPR).
- Establishing, pursuing or defending claims – our legitimate interest (Art. 6(1)(f) GDPR).
The forms on this website do not store data in any database. A completed form reaches the studio as an e-mail and we reply personally. We do not send newsletters or advertising. We do not make automated decisions or carry out profiling.
4. Who receives your data
Data may only be shared with parties that help us run the website and the studio, and only to the extent necessary:
- the website hosting and visit statistics provider – Cloudflare, Inc.,
- the service that delivers forms by e-mail – Resend (Plus Five Five, Inc.),
- the studio's e-mail provider,
- our accounting office and, if needed, a law firm,
- while performing a contract – public authorities and bodies to which documents must be submitted on your behalf (e.g. in building permit proceedings) and cooperating specialist designers.
We do not sell data or share it for marketing purposes.
5. Transfers outside the EEA
Cloudflare and Resend are US companies, so form data may be processed outside the European Economic Area. This is based on a European Commission adequacy decision (EU-US Data Privacy Framework) or on standard contractual clauses approved by the Commission. You can obtain a copy of these safeguards by writing to the address above.
6. How long we keep data
- correspondence that did not lead to a contract – up to 12 months from the last contact,
- contract-related data – for the duration of the contract and then until claims become time-barred (usually 6 years),
- accounting documents – 5 years from the end of the year in which the tax payment was due,
- data processed on the basis of our legitimate interest – until you successfully object.
7. Your rights
You have the right to:
- access your data and receive a copy,
- rectify your data,
- have your data erased,
- restrict processing,
- data portability,
- object to processing based on our legitimate interest.
To exercise these rights, write to arpit.familydesignstudio@gmail.com. We will reply without undue delay and within one month at the latest. You also have the right to lodge a complaint with the President of the Personal Data Protection Office (UODO, ul. Stawki 2, 00-193 Warsaw, uodo.gov.pl).
8. Cookies and browser storage
This website does not use advertising cookies and does not track visitors. For anonymous visit statistics (e.g. number of visits and most viewed pages) we use Cloudflare Web Analytics. It does not store cookies on your device, does not create profiles and does not allow us to identify you. That is why the website shows no cookie banner. We only save settings and your progress in the tools in your browser's storage (localStorage), e.g. the chosen language, the chosen path or ticked documents. This information stays on your device, is not sent to us, and you can delete it at any time in your browser settings.
9. External services on this website
- Plot lookup by number in the calculator sends the entered plot number to the public service of the Head Office of Geodesy and Cartography (ULDK), directly or via our website server. This only happens when you click “Check”.
- Links to Instagram, Facebook, LinkedIn, TikTok, Google, Oferteo and Geoportal lead to external services with their own privacy policies.
10. Security
The website uses an encrypted connection (HTTPS). Only people working at the studio have access to the correspondence.
11. Changes to this policy
We update this policy when the law or the way the website works changes. The current version is always available on this page.
